Laura
15 May 2017 - Laura & Martine
...
1) contact Jiri for feedback (done) from recent libraries conference and collect info in a column in the events table (currently at Events and workshops where AARC was presented Reporting of events/conferences/presentations) (done)
2) review the SurveyMonkey about the pilots feedback so improvements can be made (scheduled for June)
3) check with Paul whether he added the survey URL to the flyer, if he did, get the new file so we can replace the old one online (done, but it seems LIBER has to do it)
4) (once this is all done, add new social media posts in AARC and LIBER channels)
5) in the meantime, find existing content on aarc-project.eu (e.g. blogs) to post on social media channels, and re-tweet etc about ones that are already on FB (
6) investigate briefly whether a Twitter account can be attached to both a free Hootsuite account and a paid Hootsuite account (done. seems problematic. Best for GEANT to make a team account and give access)
7) consider & share dates when could / not come to Amsterdam for a f2f team meeting in JuneJune (done)
8) continue reviewing the gap analysis for libraries and prep a short doc with ideas of how to follow up with outreach and comms in AARC2
9) send photos asap to Laura from past events for her to include in review slidesslides (done)
Laura to:
1) make 2 calendar invitations for Friday for the whole team, with 1 / both to be cancelled depending on response
2) develop the wiki space further
3) draft review slides and send to Martine Tuesday morning in case she can have time to give feedback quickly
...
- Laura started comms-team wiki, with:
- Space for a group contract (we can all think about this)
- Meetings + notes
- Planning of what to do
- Sarah suggests it can also contain who works when (availability)
- Martine suggests it can also contain some more high over/long term planning, also with events in the project that may require comms-effort
- Martine reminds that LIBER only has very little effort in the project (3 pm over 24 months)
- Sort of a content calendar for social media can also go here
- Events calendar as well
- Laura will continue setting up this wiki & notify M & S when its ready for them to add content
- Laura: review rehearsal will be in a few weeks. Review at the end of June. Martine & Sara to share their wisdom and experience re the preparations
- Website -
- Sara to make good quality screenshots of the current website so at the end of AARC2 we can show what work was done to change it; DONE
- Sara to complete the /infrastructures content and make the page live; DONE
- Sara to make the deliverables digest page live; DONE
- Sara to add the video; ONGOING
- Sara to start work on the new site - plugins & restructure
- Kick off meeting: Sara will go, Martine cannot attend. We looked at file Irina. Seems useful, but can be more related to what project actually needs to achieve, target audience, and what needs to be done. Martine mentions something with personas or a customer journey may help to get more focus on the end result/impact. Laura will follow up with Irina and Licia.
- Laura also to check with Licia whether an exploitation plan is required by EC at start of AARC2?
- Laura also to check with Licia whether an exploitation plan is required by EC at start of AARC2?
- Social media:
- Facebook, LinkedIn and Twitter have been set up. Twitter password lost, Laura will look into this. DONE - SUCCESS!!
- Martine will try to get hold of Jiri on social media, to retweet/post what he puts on social media.
- Social media channels will have to go online tomorrow morning. Laura DONE
- Martine uses free version Hootsuite for scheduling but thinks Twitter can be coupled to only 1 Hootsuite account. Laura to check on GEANT platform progress and follow up together another time. In the meantime, start a rolling schedule of content as part of the wiki space. Up to 3 social networks can be connected to the same HootSuite account (with max 2 users signing in at the same time): I would suggest then to use a Hootsuite (HS) account and share the credentials with those who are in charge of updating social media accounts. Then, the Twitter and FB (and LInkedin or Youtube?) account should be connected only to this HS account. Another solution would be to upgrade the account, in this way it will be possible to create a team and collaborate on HS but I do not know if this is a viable option.
- Blog article: Laura made a blog article “AARC is dead – long live AARC”. Sara can put this in the EGI newsletter as a 500 word version. Martine can also distribute through LIBER channels. Laura to notify them once approved version is live on AARC website. DONE
